Position Overview

The Illinois Department of Corrections is looking for a motivated organized individual to complete administrative secretarial work. The candidate will perform highly confidential and sensitive work including preparation and keyboarding of documents which have an impact on the facility’s program operations, policies, procedures, as well as labor relations and collective bargaining issues. Job Responsibilities

  • As an administrative secretary, conducts special projects and studies by gathering data, coordinating, monitoring the completion of projects.
  • Prepares and keyboards documents of a confidential nature including minutes of executive staff meetings and labor management meetings.
  • Coordinates workflow to and from Warden's Office.
  • Serves as a receptionist.
  • Composes correspondence in response to inquiries and request for materials, as authorized signs the Warden's name to letters and vouchers.
  • Establishes and maintains files for the Warden's office.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to completion of two (2) years of secretarial or business college and three (3) years of secretarial experience, or completion of high school and five (5) years of secretarial experience.
  • Requires the ability to keyboard accurately at 55 words per minute.

Preferred Qualifications (In Order of Significance)

  • Prefers at least three (3) years of experience with office management.
  • Prefers at least three (3) years of experience with agency programs, rules, and regulations.
  • Prefers at least three (3) years of experience with manual and automated office equipment.
  • Prefers extensive knowledge of composition, grammar, spelling, and punctuation needed to compose correspondence with various entities on a daily basis.
  • Prefers extensive knowledge of basic mathematics, which will be used to compute data in various reports.
  • Prefers at least three (3) years of experience compiling reports that are confidential in nature.
  • Prefers at least two (2) years of experience to multitask and prioritize a heavy workload to meet deadlines.
  • Prefers at least two (2) years of experience in record keeping and filing.
  • Prefers the ability to establish and maintain satisfactory working relationship with fellow workers.
  • Prefers excellent communication and interpersonal skills.

Conditions of Employment

  • Requires ability to pass the IDOC/IDJJ background check.
  • Requires ability to pass a drug screen. On January 1, 2020, the Cannabis Regulation and Tax Act made it legal for residents over the age of 21 to produce, consume and sell cannabis in Illinois. Please note that although the law has changed, the Department will continue to enforce the Department’s zero tolerance Drug Testing policy. The use of unauthorized drugs, including cannabis, by an employee, regardless of the position held is prohibited.
