Responsible for providing office support to one or more individuals which involves; distributing information; receiving visitors; arranging travel, meetings, events and/or conferences; scheduling appointments; receiving, referring, or answering mail; setting up and maintaining files; answering and routing calls; creating letters, memos, presentations, spreadsheets and reports; and purchasing.

This outstanding opportunity is part of the Business Administration team assisting the Instrument Software and Science Data Systems Section (398), which delivers the Instrument Operations System (IOS) to an instrument team or flight mission, deliver the Science Data System (SDS) to an instrument team, flight mission, or science project, and provides data science services that enable and support JPL scientific investigations and goals, NASA Program and Projects. We are looking for a motivated and dedicated Staff Assistant Level III, that can provide administrative & clerical support to the Section Management team and multiple technical staff members and technical group supervisors within the Section! This is primarily an administrative staff position that will highlight your outstanding customer service, interpersonal and communication skills. You will be a member of the Business Administration Team (3918) and report to the Business Administration Manager.

Your responsibilities include:

  • Providing office support while maintaining patience and composure in a multifaceted work environment that includes interruptions and changing priorities.

  • Handling Section Management and technical staff members' calendars in Outlook (M365) Teams and coordinating large meetings.

  • Coordinating foreign and domestic travel and generating travel expense reports.

  • Submitting iProcurement and Pcard orders.

  • Maintaining conference room schedules.

  • Assisting with preparation of presentations, graphics, and website/wiki inputs, including proofreading, and editing.

  • Regularly supporting various and multifaceted ad hoc assignments.

  • Providing back-up coverage for technical groups staff assistants as needed.

  • Demonstrating phenomenal organization skills, and flexibility in the performance of the job.

  • Prioritizing work and completing assignments accurately and in a timely manner.

  • Assisting less experienced personnel with some work assignments.

Qualifications

  • Typically requires a High School diploma with a minimum of 8 years of related experience; Associate degree with a minimum of 4 years of related experience; or bachelor’s degree with a minimum of 1 years of related experience; related required training.

  • Prior experience in the secretarial profession with strong organizational, interpersonal, and digital literacy

  • Ability to interact with all levels of management and provide excellent customer service.

  • Sophisticated understanding of computer-based office applications and tools (e.g., MS Office Suite of Applications - with an emphasis on M365 Teams, PowerPoint, Outlook, Concur, Adobe Acrobat).

  • Understanding of general, detailed, and specialized job aspects and work techniques related to office operations.

  • Ability to identify and implement process improvements that increase the efficiency of the office.

  • Crucial to be reliable, organized and detail oriented, with the ability to adapt as work requirements and priorities change.

  • Demonstrated ability to work successfully under pressure on multiple tasks, meet time commitments and deliver high-quality work products.

  • Motivated self-starter who takes initiative to perform activities under minimal direction and deliver timely results.

  • Excellent written and verbal communication skills.

Desired Skills:

  • Detailed knowledge of JPL policies, procedures and practices related to office operations.

  • Subject matter expert (SME) in Travel, Timekeeping and Calendaring.

  • Sophisticated knowledge of the following JPL systems: Concur, iProcurement, Requisitions JPL-ID (On/Off boarding), and Google box Alfresco.

  • Experience with website development and/or maintenance.

  • Experience with JPL’s Atlassian Confluence wiki system, specifically the use of confluence templates, macros, and plugins.

The hiring range displayed below is specifically for those who will work in or reside in the location listed. In extending an offer, Jet Propulsion Laboratory considers factors including, but not limited to, the candidate’s job related skills, experience, knowledge, and relevant education/training. Hiring range for this job may be adjusted based on primary work location outside of Pasadena, California. This adjusted range will be provided to candidates by the Recruiter when applicable.

$69,576 - $88,608
